Zendesk Integration

The Zendesk integration connects your Expiration Reminder account to Zendesk so that upcoming expiration deadlines can be turned into Zendesk tickets automatically. Instead of tracking renewals in a separate place, your team works them in the same queue they use for everything else.

 Before you begin

Make sure you have the following ready:

  • An active Expiration Reminder account with permission to manage integrations.
  • A Zendesk account with administrator access (needed to authorize the connection).
  • The documents, licenses, or certifications you want to monitor already added in Expiration Reminder, each with an expiration date.
How to set up the Zendesk integration
  1. Sign in to your Expiration Reminder account.
  2. Go to Settings > Integrations.
  3. Find Zendesk in the list of available integrations and click Connect.
  4. In the authorization window, enter your Zendesk subdomain and sign in with your Zendesk administrator credentials.
  5. Review the requested permissions and approve the connection.
  6. Once connected, choose which records should create tickets and how many days before each expiration date a ticket should be created.
  7. Save your settings. The integration is now active.
What syncs and what triggers a ticket

After setup, Expiration Reminder monitors the expiration dates of the records you selected. When a record reaches the lead time you configured, the integration creates a ticket in Zendesk that includes the item name, its expiration date, and other relevant details so your team can act right away.

You control the timing and scope: choose which categories of records create tickets and how far in advance, so your Zendesk queue stays focused on what matters.

Managing renewal tickets in Zendesk

Renewal tickets appear in Zendesk like any other ticket. You can route them to the right agent or group, set priorities, add internal notes, and close them once the renewal is complete. The full history stays in Zendesk for auditing and reporting.

Troubleshooting
  • Tickets aren't being created. Confirm the integration status shows as connected in Settings > Integrations, and that the records you expect have a valid expiration date and fall within the lead time you configured.
  • The connection failed during setup. Make sure you signed in with a Zendesk administrator account and entered the correct subdomain, then try connecting again.
  • Tickets are going to the wrong group. Review your routing rules in Zendesk and the ticket settings you selected during setup.
  • The connection stopped working. If your Zendesk credentials changed, reconnect the integration to refresh authorization.
Frequently asked questions

Will this create duplicate tickets? No. Each monitored record creates a ticket once as it approaches its configured lead time.

Can I choose which records create tickets? Yes. You decide which categories of records are included and how far in advance tickets are created.

Does closing a ticket in Zendesk change anything in Expiration Reminder? Closing a ticket resolves the work item in Zendesk. You still update the record in Expiration Reminder once the renewal is complete so future reminders reflect the new date.

Is there an extra cost? The integration is available on all Expiration Reminder plans. A Zendesk subscription is required separately.
