Trello Integration

The Trello integration connects your Expiration Reminder account to Trello so that upcoming expiration deadlines can be turned into Trello cards automatically. Renewals appear on the board your team already uses, alongside the rest of your work.

 Before you begin

Make sure you have the following ready:

  • An active Expiration Reminder account with permission to manage integrations.
  • A Trello account, and access to the board where you want renewal cards to appear.
  • The documents, licenses, or certifications you want to monitor already added in Expiration Reminder, each with an expiration date.
How to set up the Trello integration
  1. Sign in to your Expiration Reminder account.
  2. Go to Settings > Integrations.
  3. Find Trello in the list of available integrations and click Connect.
  4. In the authorization window, sign in with your Trello credentials and approve the requested access.
  5. Select the Trello board and list where new cards should be created.
  6. Choose which records should create cards and how many days before each expiration date a card should be created.
  7. Save your settings. The integration is now active.
What syncs and what triggers a card

After setup, Expiration Reminder monitors the expiration dates of the records you selected. When a record reaches the lead time you configured, the integration creates a card on the board and list you chose, including the item name and its expiration date so your team has the context to act.

You control which categories of records create cards and how far in advance, so your board stays focused and uncluttered.

Managing renewal cards in Trello

Renewal cards behave like any other Trello card. You can assign members, add due dates, attach files, move the card across your lists as work progresses, and archive it once the renewal is complete. Your team manages renewals using the Trello workflow they already know.

Troubleshooting
  • Cards aren't being created. Confirm the integration shows as connected in Settings > Integrations, and that the records you expect have a valid expiration date within your configured lead time.
  • Cards appear on the wrong board or list. Open the integration settings and update the selected board and list.
  • The connection failed during setup. Make sure you approved the requested Trello permissions, then try connecting again.
  • The connection stopped working. If your Trello access changed, reconnect the integration to refresh authorization.
Frequently asked questions

Will this create duplicate cards? No. Each monitored record creates a card once as it approaches its configured lead time.

Can I send cards to different boards? Each connection creates cards on the board and list you select. Choose the board that best fits how your team manages renewals.

Does archiving a card in Trello change anything in Expiration Reminder? Archiving a card clears it from your board. You still update the record in Expiration Reminder once the renewal is complete so future reminders reflect the new date.

Is there an extra cost? The integration is available on all Expiration Reminder plans. A Trello account is required separately.
